HR Best Practices

How you handle an exit says as much about your company as how you handle a hire. A rushed, messy offboarding burns goodwill, risks compliance mistakes, and leaves loose ends — assets not returned, dues not settled, knowledge lost. A structured exit process protects everyone.

The stages of a clean exit

  1. 1Resignation & notice — record the date, notice period, and last working day.
  2. 2Exit interview — understand why they are leaving while it is still fresh.
  3. 3Clearance — confirm assets, dues, and handovers across departments.
  4. 4Full & Final settlement — calculate and pay what is owed.
  5. 5Documentation — issue the relieving and experience letters.

Exit interviews: ask, then actually listen

Exit interviews are your cheapest source of honest feedback. Ask about management, growth, workload, and culture. One data point means little, but patterns across many exits point straight at what to fix before more people leave.

Clearance checklists prevent loose ends

A clearance checklist routes the exit through every team that needs to sign off:

  • IT — laptop, access cards, email and system access revoked
  • Finance — outstanding advances, loans, or reimbursements settled
  • Admin — ID card, keys, and company assets returned
  • Manager — knowledge transfer and pending work handed over
Tracking clearance in the system — not on paper — means nothing gets forgotten and the F&F cannot be released until every department has signed off.

Full & Final settlement done right

The F&F pulls together everything owed and owing: pending salary, leave encashment, gratuity if applicable, notice-period adjustments, and any recoverable loans or advances. Getting it right — and paying on time — is the last impression you leave.

  • Pending salary up to the last working day
  • Encashment of remaining leave balance
  • Gratuity, where eligibility is met
  • Recovery of outstanding loans or advances
  • Notice-period recovery or shortfall, if any

Close it out professionally

Issue the relieving and experience letters promptly. A former employee who left on good terms becomes a referral source, a potential boomerang hire, and a quiet ambassador for your brand. Handle the exit with the same care as the welcome, and offboarding stops being a chore and becomes part of your reputation.
